Our Rent Collection Process

  • Standard & Clear Policies: Use of rent / lease agreements thatexplicitly defines payment methods, due dates, any grace periods, and late fees.
  • Multiple Payment Options: We offer convenient methods such as online portals (often integrated with property management software), direct bank transfers, and sometimes mobile money transfers to facilitate timely payments.
  • Preset Automated Reminders: Emaar integrates property management systems that automatically sends payment reminders via email / SMS before the rent is due and on the due date to minimize late payments.
  • Tracked Documentation: Payments are tracked daily in a log, and records are updated immediately upon receipt. All transactions, communications, and invoices are documented and filed, instaneously available on request.
  • Late Payments Prompt Follow-up: An established process for handling late payments we send follow-up notices or making dedicated calls when a payment is missed, preventing recurring issues.
  • Separately Handling Security Deposits: Security deposits are kept in a separate bank account (often legally required) and are accounted for carefully until the tenant moves out.

Accounting Procedures

Involves tracking all income from rent and expenses, such as maintenance and management fees, to maintain clear financial records, ensure tax compliance, and inform business decisions.

  • Secure Trust Account: All rent and security deposits are deposited into a separate, regulated trust account, distinct from the Emaar's operating accounts. This is a legal requirement of all contracts.
  • Transaction Recording: When the funds clear, Emaar's accounting team records each transaction (income and expenses) chronologically categorizing it using a specific chart of accounts for real estate. Typical as; rental income, commissions, interest, repairs, insurance, management fees, utilities etc.
  • Expenses and Bill Payments: One of our key service is using the collected rent to pay property-related bills on the owner's behalf, such as land rates, maintenance costs, and the agent's management fees / commission.
  • Bank Reconciliation: Monthly bank reconciliations to match the bank statements with the recorded transactions in the accounting software, ensuring accuracy and detecting any discrepancies.
  • Funds Disbursement: Once all bills and fees are processed and deducted, the remaining balance of the rent is disbursed to the property owner(s) accounts.
  • Financial Reporting: Emaar Properties generates and provide the owner / landlords with regular financial reports, typically monthly statements and an end-of-financial-year summary. These reports include:
  1. Income Statement (Profit and Loss statement): Total income and itemized expenses over a period.
  2. Cash Flow Statement: Tracks the movement of cash in and out of the property’s accounts.
  3. Tenant Ledgers: Detailed history of each tenant’s payments, balances, and due dates.
  4. Owner Statements: A summary of all transactions related to a specific property and owner.
  • Tax Filling Support: The end-of-year statement provides a complete, organized record of all income and expenses, which the landlord / owner or their personal accountant / auditor can use for easy and accurate tax preparation and compliance.
